    Topco Associates is currently seeking a Product Asset Administrator for the Marketing Team in Elk Grove Village, IL.

     

    The Product Asset Administrator provides operational support for physical sample management as well as digital assets in coordination with Internal External Partners. Duties include checking in and out product samples at assigned location, sample status reports, maintaining open communication with Marketing Project Managers. Manage the process of acquiring samples from Suppliers. For digital assets, Administrator is responsible for the implementation and maintenance of assets – including images, logos, presentations, content and other graphic elements – in a digital asset management system.  This includes the updating, organizing and key wording of all physical and digital assets.

    Responsibilities

    • Maintaining and organizing physical samples and digital assets as they arrive
    • Receives, tracks and responds to high volume inquiries and requests for assets from internal and external users (retailers, marketing, category management, etc.)
    • Manage requests for expedited images
    • Fulfills image requests via secure file transfer, updates and maintains metadata and monitors daily user activity
    • Interacts with external photo studio on a daily basis in order to maintain a smooth flow of samples -- product information and images
    • Build consistent keyword structure for all assets
    • Ensures consistent filing and labeling
    • Gather, coordinate and communicate sample related information to internal teams
    • Schedule and see that deadlines are being met on all aspects of sample image capture projects
    • Review physical samples as well as digital files for accuracy
    • Manage retailer customer requests and ensure the necessary compliance and follow through
    • Ensure a quarterly, but not greater than bi-annual, review of Manufacturer’s asset/product portfolio
    • Monitor weekly grocery promotion activity to document member retailer and competitive activity
    • Troubleshooting any issues and resolve necessary conflict or problems putting sample initiatives/projects at risk
    • Facilitate necessary meetings and/or status reports as required
    • Perform in a collaborative team environment with a willingness to take on additional tasks and assignments as needed during peak times
    • Coordinate team stock photography accounts and permissions for all photo libraries
    • Manage traffic and digital asset management (DAM) process to facilitate an efficient workflow process.
    • Maintain and organize digital asset library
    • Ability to write training materials as well as train influence users of assets and the DAM.
    • Diligent about creating order; experienced in the development and adoption of processes.
    • Proven success in ability to work cross-functionally.

    Qualifications

    • Four year degree required.
    • Excellent communication (written and verbal) with strong interpersonal skills
    • Excellent attention to detail and commitment to excellence
    • Knowledge of an asset management system a plus.
    • This role requires the ability to work independently with little supervision, make discretionary judgment calls in order to provide excellent service to member retailers
